The HSEST Systems and Document Controller acts as an integral member of the HSESC team which supports the management and control of all business HSEST documentation.
Lead, plan, manage and implement the BlueBox Document Management System through SharePoint and any associated development services, policies, and programs for Baffinland Iron Mines Corporation
Develop, implement and manage the Baffinland Business Document Framework and associated templates, hierarchy of document and area/document owners
Assist with the implementation and management of the Baffinland HSEST Management System

 

Main Accountabilities

• Implement the BlueBox Document Control System (DCS)
• Implement and deliver training on DCS FOR Departmental Super users
• Establish document control procedures for the classification and filing of documents, including implementing the BlueBox system for quick and easy retrieval of multiple documents
• Be the contact person for all documents pertaining to HSEST, including receiving, tracking and monitoring documentation
• Facilitate, develop and research potential BlueBox program modules
• Finalize, implement and manage the HSEST Document Framework
• Facilitate the migration of existing Policies, Standards, Procedures, guidelines and plans into the new Business Document Framework
• Generate document control reports and check the accuracy of transmittals
• Expedite the review of internal and external documentation within the business and the applicable stakeholders
• Keep the document control system up-to-date

• Respond to internal and external documentation requests
• Control the accessibility of the HSEST documents, ensuring that only authorized individuals have access to the documents
• Assist in the implementation of the HSEST Management System documentation and track the progress of the System implementation project
• Build and maintain all HSEST documents and produce statistics and other reports
• Ensure a high level of document integrity is maintained by coordinating and recording document flows with HSEST documentation requirements and internal procedures.
• Identify/build the most effective tools to address the business needs.
• Assist with the development and implementation of a consolidated document register/control system.
• Above all, be a Courageous Safety Leader, adhere to and sponsor safety and environmental behaviours, rules and procedures, and compliance to site OH&S standards as well as participating in safety initiatives, hazard identification, tool box meetings and incident investigations when required.

 

Main Qualifications

• Diploma from a vocational institution
• College Diploma
• Bachelor’s Degree
• 5 – 7 years work with implementing and managing a Document Control System and demonstrated independence and experience with Computer Software Programs and Information Management
• Computer-savvy and well-versed in Microsoft Office products and Computer Systems.
• Proficient in project management systems (Primavera, Ms Project, Aconex, Documentum, etc)
• Experience with document control software, process map software, FTP clients, ISO, SharePoint and FileNet
• First Aid Certification (Preferred)

• Demonstrated experience with document control systems, processes, procedures, and standards
• Experienced with technical documents (e.g. manuals and workflows)
• Proficiency in MS Office Suite and Adobe Acrobat
• Proficiency in the following tools: FTP sites, Share Point, etc.
