We are seeking a detail-oriented and motivated graduate to support the Steensby regulatory affairs team with project scheduling, budget tracking, and program logistics. The successful candidate will play a key role in maintaining the weekly integrated project schedule, monitoring the regulatory affairs budget, and coordinating logistics for environmental monitoring programs. This role involves close collaboration with internal teams across engineering, finance, and operations, as well as external contractors.

The ideal candidate is organized, analytical, and proficient in Excel, with a strong ability to communicate and manage multiple tasks in a dynamic project environment. This is an excellent opportunity for someone with a background in business, finance, engineering, or environmental studies to gain hands-on experience in project coordination and resource planning.

 

Main Accountabilities

Project Scheduling Support

  • Assist in maintaining and updating the Steensby permitting schedule within the weekly integrated project schedule.
  • Track and highlight any schedule variances, delays, or critical path items.
  • Prepare summary dashboards or status reports for internal project team reviews.

Budget Monitoring and Financial Reporting

  • Update and track the Steensby regulatory affairs budget, including expenditures, forecasts, and commitments.
  • Process PO requests in SAP
  • Reconcile budget data against invoices, contracts, and internal finance systems.
  • Prepare variance analysis reports and flag financial risks or overruns.
  • Support monthly and quarterly financial reporting, including accruals and cost-to-complete estimates.

Monitoring Program Logistics and Operational Support

  • Track environmental monitoring program logistics for Steensby such as mobilizations, cargo shipments, and contractor schedules.
  • Coordinate with site travel teams, procurement, and contractor teams to ensure timelines and budgets align.

Administrative and Coordination Tasks

  • Organize and document weekly project update meetings, including agenda preparation, minutes, and action item tracking.
  • Help maintain shared project files and document repositories (e.g., team server, Sharepoint).
  • Provide general support to the project management team for data entry, formatting reports, or preparing presentation materials

 

Main Qualifications

  • Bachelor degree in business administration, finance, engineering, environmental studies, or related field
  • Proficiency in Excel and PowerPoint
  • Familiarity with project scheduling software (e.g., MS Project or Primavera P6 – even as a viewer/editor).
  • Strong organizational and communication skills.
  • Ability to work with cross-functional teams in engineering, finance, and operations.
  • Strong attention to detail when working with schedules, financial data, and logistics information.
  • Effective communication skills.
  • Strong ability to prioritize tasks and manage competing deadlines.
  • Proactive and resourceful in finding information or solving minor issues independently.
  • Comfortable working with cross-functional teams (e.g., finance, logistics, technical staff).
  • Eagerness to learn and take on new challenges.
  • Skilled in organizing data, files, and documents in a structured manner for easy retrieval and reference
