Reporting to the Exploration Manager the Exploration Administrator is responsible for supporting the Exploration team by assisting with the coordination of field team activities, on-site logistics and performing administrative and office management duties. If on night shift, the Administrator will be the first point of contact for Exploration service contractors for logistical support or requesting management call-outs. The Administrator is responsible for coordinating staff travel, material purchasing and shipment and record keeping, using industry standard software, to help ensure that the strategic goals of the Exploration Department are met. Night shift work may be required.

Main Accountabilities

  1. Working with the BIM Travel team, coordinate charter flight and camp accommodation arrangements for all staff and contractors of the Exploration team to ensure adequate staffing levels are maintained throughout the Exploration field season.
  2. Using Baffinland’s ERP system, create purchase requisitions, material reservations and maintenance requests, to ensure supply levels are maintained and maintenance requests fulfilled to support Exploration activities.
  3. Using established systems, maintain daily passenger manifests and record daily flight logs of helicopter flight operations and compliance monitoring to aid in cost control and regulatory compliance monitoring.
  4. To ensure adequately provisioned and maintained facilities, perform and document monthly safety audits of Exploration facilities.
  5. To ensure the timely dissemination and shipment of materials to and from site, coordinate the preparation, delivery and reception of Exploration shipments to and from the warehouse and other locations across the Operation.
  6. Support the Exploration Department by performing general office administration to maintain an efficient Exploration operation and maintain a well-organized filing system.
  7. Providing night shift support to the Exploration team while 24-hour operations are undertaken. This will entail serving as the first point of contact for Exploration service contractors prior to engagement with Exploration management or other site departments as required.

Main Qualifications

  • High School Diploma
  • A diploma from a vocational institution or a college diploma (in Business Administration) is an asset
  • Ability to obtain WSCC Level II Supervisor – Exploration certificate
  • Ability to obtain a Standard First Aid/CPR certificate
  • Ability to obtain a Site driver’s license
  • Minimum five (5) years of experience in office or worksite administration

Compensation

Compensation for this position is aligned with Baffinland’s approved compensation framework and current market conditions. Final compensation will be determined based on:

  • Relevant education and certifications
  • Related training and experience
  • Internal equity considerations

This site-based role is eligible for participation in the travel benefits, site premiums, comprehensive health and dental coverage, and pension participation.
