Main Accountabilities

Payroll:

  •  Review information on timecards to ensure compliance with company policies and partnership agreement.
  • Ensure proper cost coding on the time card.
  • Confirm leave codes (Vacation, Sick, LOA) are correctly coded.
  • Enter approved hours into ADP timekeeping system in an accurate and timely manner to meet payroll deadlines.
  • Apply correct earnings codes (regular, overtime, premium pay).
  • Validate entries by comparing entered hours against submitted timecards.
  • Correct discrepancies before payroll processing.
  • Contact supervisors regarding unclear entries or missing approvals.
  • File and maintain timecards (electronic or paper) according to retention policies.

Reporting:

  • Develop and maintain spreadsheets and tracking tools (Excel HRIS etc.)
  • Enter information into trackers in a timely and accurate manner. (i.e. probationary reviews, classification changes, workforce requests, department changes, cost center changes)
  • Maintain updated vacation tracking spreadsheets.

Administrative Duties:

  • Ensure vacation requests and leave forms from employees are fully completed and approved by supervisor or manager.
  • Ensure sufficient vacation accruals are available before processing vacation form.
  • Process vacation forms based on vacation guidelines and partnership agreement.
  • Enter approved vacation time into the ADP timekeeping system.
  • Distribute the approved vacation forms to the Travel Department.
  • Ensure that all fields on the work force request form are completed (position title, department, cost centre, reason for request) prior to submission.
  • Confirm that all approvals are received (Department Manager, Finance) prior to forwarding work force request to Recruitment.
  • Enter all work force requests received on the work force request tracker.
  • Process employee expense reports in accordance with company policies.
  • Assist with co-ordinating site rotations in accordance with operational needs.
  • Maintain professional and confidential handling of sensitive information.
  • Other duties as assigned.
